AI for building certifiers: collect, check and certify without the chasing

Your own Construction Certificate, CDC and Occupation Certificate checklists run as a client portal. topicAI chases the documents, checks each upload against what you asked for, files it where your team expects it and tells the certifier when a job is ready to assess.

What it does

Everything between the application and the signature

Your checklists, as a client portal

Each project gets your own numbered CC, CDC or OC checklist, in your wording. Tick the "only if" items that apply, like a pool, food premises or a Class 2 building, and the client sees only what they need, with your blank forms to download.

Every upload checked against the item

When a client uploads a geotechnical report, BASIX certificate or structural design, topicAI reads it against what that checklist item asks for and flags what's missing, so the client can fix it before your team opens it.

Bulk upload, sorted by AI

Clients and staff can drop in a whole folder at once. topicAI matches each file to its checklist item for you to confirm, then files it with the item number, like "14 Architectural plans", in the numbered folders your team already uses.

A queue for the certifier

When every item is in, the project moves to Ready for certifier review and the team gets an email. Take it, assign it, send it back for further information or mark the CC or OC issued, with a day count on every card.

Comments on the item, not lost in email

Your notes and the client's replies sit on the checklist item they're about. New replies light up the bell and the item, and AI can draft your comment from what's missing.

Construction Certificates drafted on your template

A draft CC on your own Word template, with Schedule 1 built from the project's actual plans and documents. Anything it can't find is left as a clear placeholder for you to complete.

BCA assessment tables, pre-marked

Your DtS review templates (Sections B to J and accessibility) filled clause by clause from the plans and reports, marked C, CRA, FI, DNC, PS or N/A, with the reason. A starting point for your own assessment.

Your library, cited to the clause

Upload your Australian Standards, the EP&A Regulation 2021 and the Codes SEPP to a staff-only library. Answers cite the clause; licensed Standards are summarised and cited, never reproduced.

The client always knows where it's at

The portal shows each stage, from appointment and documents through assessment, the certificate, critical stage inspections and the Occupation Certificate, so fewer "any update?" calls.

How it works

How certifiers use topicAI

  1. Set up the project

Pick your CC & OC or CDC & OC checklist and tick what applies to this building.

  2. Send the client the link

They upload one item at a time or a whole folder. AI checks and sorts each file.

  3. Accept and file

Your team accepts each item; it's filed to its numbered folder. All in? It's Ready for the certifier.

  4. Assess and sign

The certifier takes the job, works from pre-marked BCA tables and a drafted CC, then checks and signs.

FAQ

Questions certifiers ask us

Does topicAI issue or sign certificates?

No. topicAI prepares drafts and pre-marked assessment tables. The registered certifier does the assessment, makes every decision and signs. Anything topicAI can't confirm from the project's documents is left as a placeholder, never guessed.

Can we use our own checklists and forms?

Yes. Your CC, CDC and OC checklists keep your wording and item numbers, and your blank forms are attached to the items they belong to. Staff can pre-fill your Word forms, like owner's consent, from the project's details.

Does it replace the NSW Planning Portal or our certification software?

No. Applications, appointments and certificates are still lodged on the NSW Planning Portal. topicAI handles the document collection, checking, filing, queue and drafting around it.

How are Australian Standards handled?

Upload the Standards your firm is licensed for to a staff-only library. topicAI summarises and cites the relevant clause; it never reproduces a licensed Standard and never shows it to clients.

Which states does it suit?

It's built around NSW certification (the EP&A Regulation 2021 and the Codes SEPP). Because the checklists are your own, certifiers in Victoria and Queensland can use it too, and the planning data covers NSW, VIC and QLD.

Where is our data stored?

Your documents and data are hosted in Australia on Microsoft Azure, with encrypted AI processing on Microsoft's enterprise Azure platform. Each organisation's data is fully partitioned and is never used to train shared AI models.

How much does topicAI cost?

Up to 5 users is $249 a month and 6 to 15 users is $399 a month (AUD). Every feature is on every plan, there's no sign-up fee, and you can cancel any time. Larger teams, talk to us. Every plan starts with a 30-day free trial.

Can we try it on a real job first?

Yes. Start the 30-day free trial, pick your profession when you sign up and topicAI sets itself up with the right terms, tools and data. Point it at a real file to see if it suits your team.
